SYNTRIB TECHNOLOGY PRIVATE LIMITED ("Syntrib") primarily provides digital services including AI-powered business management software, SaaS platforms, and technology solutions. As our services are digital in nature, the following cancellation and refund policies apply to all engagements and transactions.
1. Subscription Cancellation
We understand that business needs may change. Our cancellation policy is designed to be fair to both parties:
- Written Request: All cancellation requests must be submitted in writing via email to contact@syntrib.com. Verbal or informal cancellation requests will not be processed.
- Notice Period: Cancellation requests must be submitted at least 15 days before the next billing cycle to be effective for that cycle.
- Current Billing Period: Cancellation will take effect at the end of the current billing period. You will continue to have access to the services until the end of your paid period.
- Data Export: Upon cancellation, you may request an export of your data within 30 days. After this period, your data will be securely deleted.
- Cancellation requests must include your account details, organization name, and the reason for cancellation.
- We will acknowledge your cancellation request within 2 business days and confirm the effective date of cancellation.
2. Refund Policy
Our refund policy reflects the nature of our digital services:
- Non-Refundable for Used Services: Payments for subscription periods that have been partially or fully consumed are non-refundable, as digital services cannot be returned once access has been provided.
- Annual Subscription Refunds: For annual subscriptions cancelled within the first 30 days, a prorated refund may be issued for the unused months, minus a 10% processing fee.
- Duplicate Payments: In the event of a duplicate or erroneous payment, the full duplicate amount will be refunded promptly upon verification.
- Processing Time: Approved refunds will be processed within 7-10 business days from the date of approval and will be credited to the original payment method.
- Partial refunds may be issued for services that have been partially delivered, calculated based on the proportion of service consumed.
3. Milestone-Based Projects
For custom development projects structured around milestones:
- Cancellation will be effective at the end of the current milestone.
- Work completed up to the point of cancellation will be billed accordingly.
- All deliverables produced up to the cancellation point will be provided to the client.
- Advance payments for unstarted milestones will be refunded in full.
4. Exceptions
Refunds may be considered on a case-by-case basis in the following situations:
- Service was not delivered as described in the agreed scope of work or service level agreement (SLA).
- Significant and prolonged service outages caused solely by Syntrib that were not communicated in advance.
- Technical issues on our end that prevented service delivery for an extended period.
- Unauthorized charges that were not initiated by the account holder.
5. Non-Refundable Items
The following are not eligible for refunds under any circumstances:
- Setup fees, onboarding charges, and data migration costs.
- Custom development work that has been completed and delivered.
- Training and consultation services that have been rendered.
- Third-party integration costs and license fees paid on your behalf.
6. How to Request a Cancellation or Refund
To initiate a cancellation or refund request:
- Send an email to contact@syntrib.com with the subject line "Cancellation Request" or "Refund Request".
- Include your organization name, account ID, subscription details, and reason for the request.
- Our team will review your request and respond within 2 business days.
